Digitalising Data Collection for Singaporean Parents

Challenge

Digitise the existing manual data collection process of parent and student details during Primary 1 intake and verification processes across all levels in MOE.

  • Established a responsive web form component library in phase 1 which served as the design system for the entire project

  • Lead UX for phase 2, that focused on data collection for all levels

My role

Overview

When a student enters Primary 1, parents must complete a hard copy form known as the Pupil Data Form (PDF) to verify and capture the student's details. This includes contact information, spoken languages, and number of siblings.

Additionally, most government schools (primary to JC) conduct the Individual Student Details Report (ISDR) exercise once or twice a year. Parents receive the ISDR for verification and updating twice annually.

The diagram below shows the workflow before digitisation This process is repeated across all public schools and for all students in MOE schools.

Outcome

Upon digitising both forms, the process of collecting such information from parents have been massively optimised. The diagram below shows the process after digitisation.

Impact

This digitalisation of a simple yet tedious data collection process was very well received by the public and has greatly improved the workflow for the ministry and school staffs, greatly reducing the costs of conducting these exercises in years to come.
